Use the real pickup time
Choose the time that reflects when you reasonably expect to reach the handover point after landing and collecting luggage. If the flight is scheduled close to midnight, select that real time rather than 08:00 simply because it is the default option.
The same principle applies to early-morning departures. A 05:00 or 05:30 return should be requested as such so key return, inspection or handover logistics can be confirmed in advance.
What to include in a late-arrival request
Send the flight number, scheduled landing time, pickup location, passenger name, mobile/WhatsApp number if available, selected vehicle type and insurance preference. If travelling with children or unusually large luggage, add that too so the handover is not delayed by a last-minute vehicle or seat mismatch.
If your flight is delayed
Keep the rental contact informed if you receive a major delay after the quote is confirmed. The exact handling of a delayed arrival should follow the confirmed handover arrangement. If a fee or special condition applies to the late service, it should be clear before travel.
